Administrative Assistant Job Description

Position Overview: Stillpoint Counseling and Wellness is seeking a part-time administrative assistant. Administrative Assistant will work 20 hours per week, Monday- Friday, supporting the front and back end of our business, including scheduling client calls, billing, client support, and ensuring our staff is supported.

Convenience: We offer daytime, evening, and weekend appointments for our clients.  We offer online therapy services through a HIPAA compliant Telehealth program.  We offer an Client Portal for online scheduling, easy access to billing documents, and communication with our clients

Community Collaboration: Part of our mission is to contribute to promoting wellness within the community through community involvement, speaking engagements, and financial contributions. It is our goal to reach more people and provide psychoeducational services to students, teachers + administration, and businesses through regular outreach in the community.

Reports to: Jessica King, Founder and Owner

Duties/Responsibilities:

  • Manage intake calls.
  • Check insurance benefits for new and established clients.
  • Support billing department on sending and rectifying claims.
  • Manage intake paperwork collection and ensure EHR files are accurate.
  • Assume responsibility of maintenance of office equipment.
  • Regular and reliable attendance and timely arrival to work is required.
  • Attend mandatory staff meetings and training as directed by STILLPOINT
  • Passion for working with others and helping team members grow.
  • Other duties may be assigned.

Qualifications and Skills:

  • Align with STILLPOINT mission, vision, and values.
  • Must be punctual in reporting to work.
  • Be organized and detail oriented.
  • Be a team player.
  • Be able to work independently on tasks assigned.
  • Have strong written and verbal communication skills and strong interpersonal skills.
